Why the first message matters
A message such as “send your latest price list” is easy to send but difficult to answer accurately. China has a large number of brands, models, trims, powertrains, model years, and supplier channels. A broad list may create more confusion than progress.
A strong first message gives the sourcing team enough information to check a specific direction. It does not need to be long. It needs to separate required points from preferences.
The minimum information to include
Send these points in one message whenever possible:
- Your country and whether you are a dealer, wholesaler, fleet buyer, project buyer, or parts buyer
- Vehicle category and target brand or model
- Required engine, drivetrain, trim, battery range, body type, or equipment
- Quantity
- New or used condition
- Destination port or destination country
- Target timing
- WhatsApp or email for follow-up
For a used vehicle, also include the maximum acceptable mileage, model-year range, condition expectations, and whether repaired vehicles are acceptable. For parts, include the vehicle model, year, part name, part number when available, photos, and quantity.
Separate required specifications from acceptable alternatives
The sourcing team needs to know which points are fixed. For example, four-wheel drive may be required while color may be flexible. A particular trim name may be preferred, but an equivalent configuration may be acceptable.
Use a simple structure:
- Required: points that cannot change
- Preferred: points that improve the offer but are negotiable
- Alternative allowed: models or configurations you are willing to compare
This distinction allows the China-side team to search more efficiently without returning vehicles that cannot meet the buyer’s actual use case.
State the destination clearly
Shipping and export questions depend on the destination. “Africa” or “Middle East” is too broad for a useful quotation discussion. Provide the intended country and, when known, the port.
The destination also helps identify questions the buyer should verify locally. Green Gallop can coordinate China-side sourcing, documents, and shipment options, but destination import permission, tax, registration, and customs requirements should be confirmed with a qualified local party.
Ask for comparable confirmation material
When reviewing an option, ask for information that helps you compare like with like:
- Exact model and trim
- Model year or production information
- Engine, drivetrain, or battery specification
- Color
- VIN when available at the relevant stage
- Used-vehicle mileage and condition material
- Export document context
- Trade term and shipment scope
Avoid comparing only the headline price. Two offers using the same model name may refer to different vehicles or different responsibilities.

A requirement in this format gives the sourcing team a clear starting point and makes the next quotation conversation more useful.
